Sending the rent receipt to your tenant

Tenants Invited and Connected to Rentila

Automatic sending of the rent due notice

Tenants who are invited, connected, and have access to Rentila automatically receive an email notification (this option can be enabled/disabled in the tenancy file) as soon as their rent is generated in the “Finances” section. The email contains a direct link to download the document, the rent due notice or the rent receipt.

Tenants who are not connected and whom you have not invited do not receive automatic emails from Rentila.

Manual sending of the rent receipt or rent due notice

Once the payment is marked as “Paid” in the “Finances” section, you can manually send the Rent Receipt using the “Send the Rent Receipt” action on the right. The system will resend the notification email with the direct download link of the document.

Sending of the rent receipt after recording a payment

When you record a payment using the “Record a Payment” form, you also have the option to tick the box “Send the Rent Receipt”. This will trigger the sending of a notification to the tenant.

Tenants not connected or without email address

For tenants who do not have an email address or who do not wish to accept the invitation, you can:

  • Download the document (rent due notice or rent receipt) in PDF format and send it by email via your email service.
  • Download the document (rent due notice or rent receipt) in PDF format, print out and send it by post.
Why not send emails to non-connected tenants?

The decision not to send email notifications to non-connected tenants is taken for several reasons, including privacy and security concerns, as well as to reduce the volume of unsolicited emails (spam) to users.

  • Respect for privacy: Some tenants, who do not want to have a Rentila account, may prefer that their email inbox not be flooded with internal message notifications. The software respects their choice by not sending them notifications if they are not connected.
  • Security: Sending email notifications can expose users to security risks, such as phishing emails pretending to come from the internal messaging system. By limiting email notifications to connected users, the software reduces these risks.
  • Encouraging the use of Rentila: The goal is to encourage tenants to connect to the platform, which can contribute to more efficient use and a better overall user experience.
