For every tenancy agreement, rents and rent due notices are generated automatically, by default on the first day of the month. This article covers the generation, receipt and payment dates, the five payment statuses, invoice numbering with date tags, part-month rents, alternative receipt addresses, extra charges, recording payments and sending the documents.

Flat-shares and HMO tenancies

Rentila handles flat-shares through units: create one unit per flat or per room, then assign tenants to them. A joint tenancy puts several tenants on a single agreement, with one rent and one shared rent receipt. Individual agreements give each tenant their own unit, their own rent, their own due notices and their own receipts.

Tenant departure or change of tenant

To record a tenant leaving, open the tenancy in the “Tenancies” section and click “End tenancy”. Fill in the departure date, the deposit to return, the final receipt and the new address, then save. The tenancy is deactivated, rents stop being generated and the end date is moved to the departure date.

Security deposit

When you create a tenancy, the security deposit set out in the agreement is recorded automatically as an income in the “Finance” section. Service charge reconciliation

Service charges have to be reconciled at least once a year, comparing what the tenants paid in advance against what the landlord actually spent. Record the recoverable expenses in the Finance section, then run the reconciliation from the “Tools” section. Rentila works out the difference and creates an income or an expense for it.
