Create, edit or delete a building

To add a building, follow these simple steps: go to the “Properties” section, then click “Buildings” and finally the “New building” button.

For each building you can enter the following information:

  • The address,
  • The description,
  • The units it contains (you need to create the units first),
  • The equipment,
  • The allocation keys,
  • The financial information,
  • Add photos,
  • Add documents.

Use the tabs at the top of the form to add units and fill in further details about your building, such as its equipment, its photos and so on.

Units

You can add units to each building. For each unit you can enter the following information:

  • The unit,
  • Its general shares.

Allocation keys

You can link several units to a building and set the shares used to split the service charges. You can give a percentage or use a fraction, for example 100/1000.

There are two kinds of allocation key: general keys, which cover expenses split across all tenants, and specific keys, created when the landlord manages particular parts of the building on shares that differ from the general ones.

When you add a unit, on the “Units” tab, you can choose the general shares that apply to general service charges.

On the “Allocation keys” tab, you can add several allocation rules according to the type of specific charge (lift, cleaning, water and so on).

These allocation rules — general shares or specific keys — are used when the service charge reconciliation is calculated. Communal expenses attached to a building are split and allocated according to them.

Edit a building

To edit an existing building, go to the “Properties” section, then “Buildings”, click the “Edit” action to the right of the building concerned, make your changes and click “Save”.

Delete a building

To delete a building, go to the “Properties” section, then “Buildings”, and click the “Delete” action to the right of the building concerned.

Note that this will lose the history of that building. It is usually better to archive a building than to delete it.

Service charge split rules

It lets you record ownership shares, or apply custom allocation keys, so that shared expenses are split fairly between the units. You can create, edit and delete a building.
