Deferral of payment using the tenant’s balance

Once the rent has been generated in the “Finances” section, you can record the payment by clicking on the “Record a payment” action.

When recording the payment, you have the option to carry forward an overpayment or a payment delay from the tenant on the current rent or the next rent call.

The “Carry forward a payment” option is only available when the tenant’s account shows a Balance, whether it is positive or negative.

You have three choices:

  1. No carry forward: No carry forward is made, and the payment is recorded as is.
  2. Carry forward the balance to the next rent: The balance is carried forward to the next rent due.
  3. Carry forward the balance to this rent: The balance is carried forward to the current rent.

In the case of carrying forward a negative Balance, the amount is added to the rent. In the case of a positive Balance, the amount is deducted from the rent.

The system adjusts the due date and modifies the rent amount accordingly.

Automatic report

To activate Automatic Report, go to the tenancy file and activate the option in the “Other settings” tab.

You have two choices:

  1. Manual report: No balance carry forward is made.
  2. Automatic report: The balance is automatically carried forward on each rent.

Each time a new rent payment is generated in the “Finances” section and a positive or negative balance is present, the system will automatically adjust the due date. The amount of the rent will be increased or decreased depending on the carried forward sum.

Example

The unpaid rent of £500 in January will automatically be carried forward to the February due date. Consequently, the February due date will be adjusted to £1000 (£500 normal rent + £500 carried forward). If you do not mark February as paid, the £1000 will be carried forward to March, and so on.

Balance carry forward and incorrect rent amount

If you notice inconsistencies in your rent amount, please perform a check of balance carry forwards in your payments.

If you have activated the Automatic Balance Carry Forward function, the site automatically adds the unpaid or overpaid amount and modifies the due dates.

To spot these inconsistencies, you can consult the detail of the tenant’s balance, available in the “Tenants” section under “Balance” (on the right).

Make sure to carefully check the tenant’s balance to identify errors.

To correct the issues, follow these steps:

  1. Go to the “Finances” section and select “Record a payment”. Check the balance carry forward. If you do not wish to carry forward, click on “No carry forward”.
  2. Go to “Finances” and choose “Edit”. Check the rent amount excluding charges. If this amount is not correct, make the necessary correction.
  3. Repeat this operation for each incorrect payment that involves a balance carry forward.

If you prefer to disable automatic carry forward, you can do so in the “Tenancies” section by selecting “Edit”, then “Other Settings”, and finally “Balance Carry Forward”.

Important!

It is essential to regularly follow up on your accounts, record the tenant’s payments each month, and correct the balance carry forward if necessary.
