{"id":4805,"date":"2024-09-09T21:43:12","date_gmt":"2024-09-09T19:43:12","guid":{"rendered":"https:\/\/www.rentila.co.uk\/support\/?p=4805"},"modified":"2025-06-17T15:48:38","modified_gmt":"2025-06-17T13:48:38","slug":"create-edit-or-delete-a-rule","status":"publish","type":"post","link":"https:\/\/www.rentila.co.uk\/support\/archives\/4805","title":{"rendered":"Create, edit, or delete a transaction rule"},"content":{"rendered":"<h3>Create a Rule<\/h3>\n<p>To create a rule template for the automatic addition and categorisation of transactions, follow these simple steps: go to the &#8220;Bank Import&#8221; section, click on the &#8220;Automation&#8221; icon in the top right-hand corner, then click the &#8220;New Template&#8221; button.<\/p>\n<p>Once a rule is created, any transaction that matches will be automatically categorised based on the predefined criteria.<\/p>\n<p>For each rule, you can define the following information:<\/p>\n<ul>\n<li>The <strong>owner<\/strong>.<\/li>\n<li>The <strong>property<\/strong>.<\/li>\n<li>The <strong>tenancy agreement<\/strong>.<\/li>\n<li>The <strong>type<\/strong>.<\/li>\n<li>The <strong>payee<\/strong>.<\/li>\n<\/ul>\n<p>Trigger criteria:<\/p>\n<ul>\n<li>One or more <strong>keywords<\/strong>.<\/li>\n<li>The <strong>amount<\/strong>.<\/li>\n<li>The <strong>status<\/strong> \u2013 active or inactive.<\/li>\n<\/ul>\n<h3>Automated Entry<\/h3>\n<p>After import, the system will automatically add and categorise any transactions that match your predefined rules in the \u201cFinances\u201d section.<\/p>\n<p>A match is considered exact when the amount, date(s), and one or more keywords from the imported transaction correspond to an active rule.<\/p>\n<p>When you confirm and add a transaction in Finances, a &#8220;Already added&#8221; label appears. If needed, you can reset the matched transactions and reprocess them.<\/p>\n<div class=\"alert alert-info\">\n  <span class=\"lead\">Example<\/span><\/p>\n<p>If you receive a monthly electricity bill from EDF for \u00a329, and your bank transaction includes the description \u201cPRELVT SEPA RECU D\/O EDF clients ICS.FR47EBE002009 .RUM.MM9760393916780008\u201d, you can create an automatic recognition rule.<\/p>\n<p>You might configure the rule as follows:<\/p>\n<ul>\n<li>Property: My property<\/li>\n<li>Amount: \u00a329<\/li>\n<li>Type: Electricity<\/li>\n<li>Keywords: EDF, 47EBE002009, MM9760393916780008<\/li>\n<li>Payee: EDF<\/li>\n<\/ul>\n<p>When this transaction is imported:<\/p>\n<ul>\n<li>the system identifies the keyword \u201cEDF\u201d in the transaction label,<\/li>\n<li>automatically categorises it as an electricity expense for the relevant property,<\/li>\n<li>and adds it to the Finances section with the predefined type and payee.<\/li>\n<\/ul>\n<p>For this automation to work properly, the transaction amount and keywords must match the rule criteria.<\/p>\n<\/div>\n<div class=\"alert\">\n  <span class=\"lead\">Why can\u2019t I create automation rules for rental income?<\/span><\/p>\n<p>Rentila already applies a dedicated and specific automation system for managing rental payments.<\/p>\n<p>When you import your bank transactions, Rentila automatically compares the amounts and descriptions with outstanding rents.
