### Tenants invited and connected to Rentila

#### Send the rent due notice automatically

Tenants you have invited, who are connected and have access to Rentila, automatically receive an email notification (you can switch this option on or off in the tenancy file) as soon as their rent is generated in the “Finance” section. The email contains a direct link to download the document, either the rent due notice or the rent receipt.

Tenants who are not connected, and whom you have not invited, receive no automatic emails from Rentila.

#### Send the rent receipt or the rent due notice by hand

Once the payment is marked as “Paid” in the “Finance” section, you can send the rent receipt yourself with the “Send the rent receipt” action on the right. The system sends the notification email again, with the direct download link for the document.

#### Send the rent receipt after recording a payment

When you record a payment on the “Record a payment” form, you can also tick the “Send the rent receipt” box. That sends a notification to the tenant.

### Tenants not connected or without an email address

For tenants who have no email address, or who do not want to accept the invitation, you can:

- Download the document (rent due notice or rent receipt) as a PDF and send it by email from your own mailbox.
- Download the document (rent due notice or rent receipt) as a PDF and send it by post.

<p><span class="lead">Why are tenants who are not connected never emailed?</span></p>
<p>The decision not to send email notifications to tenants who are not connected was taken for several reasons, chiefly privacy and security, and to cut down the volume of unsolicited email.</p>
<ul>
<li><strong>Privacy</strong>: some tenants who do not want a Rentila account would rather their inbox was not filled with internal message notifications. The software respects that choice by not notifying them while they are not connected.</li>
<li><strong>Security</strong>: email notifications can expose people to security risks, such as phishing emails claiming to come from the internal messaging system. Limiting notifications to connected users reduces that risk.</li>
<li><strong>Encouraging use of Rentila</strong>: the aim is to encourage tenants to sign in to the platform, which makes for more efficient use and a better experience overall.</li>
