# Create, edit or delete a tenancy

### Create a tenancy agreement

To create a tenancy agreement in Rentila, follow these steps: go to the “Tenancies” section, then click the “New tenancy” button.

When you create a tenancy, you have to enter this essential information:

- The **tenancy type**,
- The **property** concerned,
- The **duration** of the tenancy,
- The **rent and service charge amounts**,
- The **security deposit**,
- The **tenants** (you can add several tenants for a flat-share).

You can also fill in:

- **Special clauses**,
- The **rent receipt settings**,
- **Insurance details**,
- **Guarantor details**,
- Any **documents** relating to the tenancy.

Whatever you enter when creating the tenancy is pre-filled into the matching tenancy agreement.

When the tenancy agreement is created, the software generates the following automatically in the Finance section:

- The security deposit,
- The first rent, if it is pro rata (for example, if the tenancy starts on the 21st and the rent has to cover the 21st to the end of the month).

If the tenancy has a start date in the past, the system generates a rent history for the period that has already run. Those rents are created with a “Paid” status.

### Rent receipt

You can set when the rent due notice and the payment are generated, by adding a delay in days before the receipt date.

The receipt date (the 1st by default) sets the rental period, and you configure it on the tenancy record. If you choose the 1st of the month, the period on the rent receipt runs from the 1st to the last day of the current month. If you choose the 15th, it runs from the 15th to the 14th of the following month.

The rent creation date decides when the matching line appears in the Finance section. If you choose “D-6”, for instance, the rent is generated 6 days before the receipt date. You configure this on the tenancy record too.

The payment date on the tenancy record is the date by which the tenant has to pay the rent (the 1st of the month by default). It is what decides whether a rent is late: the system marks a rent as “Overdue” 7 days after the payment date. If the payment date is the 6th, for example, the rent is marked “Overdue” after the 13th.

**Rent in advance and rent in arrears**

Rents and rent due notices are generated in advance by default, that is, at the start of the period. You decide when to record the payment and issue the receipt.

When you create the tenancy, you can also choose to generate rents in arrears, that is, at the end of the period.

**Document title: receipt or invoice**

When you create the tenancy, on the “Receipt” tab, you can choose between “Receipt” and “Invoice” as the title of the payment record.

You can switch numbering on for invoices. The numbering can be separate for each tenancy, or global for the landlord. You can also set a prefix (“IN23-”, for example), and an automatic counter is added after it.

If you change the prefix on the tenancy, the counter resets and starts again from 1. That is useful when you change the prefix every year, for example “IN2023-”, “IN2024-”.

### Edit a tenancy

To edit an existing tenancy, go to the “Tenancies” section, click the “Edit” action to the right of the tenancy concerned, make your changes and click “Save”.

Note that your changes only apply to future payments. Rents already generated in the Finance section have to be edited by hand, one at a time.

### Delete a tenancy

To delete a tenancy, go to the “Tenancies” section and click the “Delete” action to the right of the tenancy concerned.

If the tenancy is attached to an inventory (“Inventories”) or a furnishings list (“Furnishings”), you have to delete those first and then empty the trash. Otherwise the software will not let you delete the tenancy agreement.

Note that this will lose the history of that tenancy agreement. It is usually better to archive a tenancy than to delete it.

### Tenancy agreement template

When you create a new tenancy in Rentila, the software generates a pre-filled tenancy agreement automatically.

You can preview it in the form used to create and edit the tenancy.

You can also download it in Word, PDF or OpenOffice format from the “Tenancies” section, through the “Templates” column on the right.

The landlord and the tenant can sign the tenancy agreement in two ways:

- Either sign it **electronically**, in their Rentila account;
- Or print it and **sign it on paper**.
